October 26, 2006 Board Meeting The October meeting of the Shenandoah Valley at Battlecreek Homeowners Association was held on 10-26-06 at the home of Tom Emmert. It was called to order at 6:00 P.M. by President, Wes Herzberg and attended by Wes, Tom Emmert, Julie Harris, Bill Richards, Kathie Wade and member at large, Ken Brenkman – Newsletter. Mike Wooten and Dee Farlow – Event Coordinator were unable to attend. Tom Emmert read the September 06 minutes which were corrected and approved. Bill Richards presented the September 30, 2006 Treasurers Report which was approved. Joyce Jochim, Representative of the Broken Arrow Division of the Tulsa Welcome Program presented this free service where each newcomer to the addition is provided with a special shopping gift bag containing important information about businesses represented, coupons, special discounts, gift cards, samples, area maps, library, voting and church information. Old Business Wes approved the newsletter and sent to Pam Wooten for publisher format. Suitable logos are being further reviewed by Kathie. The newsletter will list board members contact information, the 09-30-06 Treasurer’s Report, and Committee reports. Cost of publishing was discussed with considerations for color format. Kathie recommended that color be used twice yearly for the quarterly publishing. The Homeowners Directory will be distributed in early 2007 and will include a homeowner’s option to exclude information as indicated by a box selection on the annual invoice. Jacque Guy was recognized for assisting on updating information on new home closings. List of babysitters was discussed with the recommendation that a central clearing point be used versus a directory listing. Julie made a motion that the annual dues be adjusted to $107 plus $18 to total $125 for 2007 which is in accordance with the merger of SVHOA I and II. Bill seconded the motion and all approved. It was also decided to have an annual budget prepared for the 2007 annual meeting. Kathie presented an update on the entrance pillar on Oak. Mike is looking into contractor cost/options. Kathie reported that maintenance of 145th street was turned over to the county and would likely be maintained over the next 5 to 7 years before widening. Growth retardants for the two oak trees at the 145th street entrance were further presented. Retardants are injected into the soil and reduce growth 1/5 for a 3 year period. This process also enhances the tree. Estimates are $150 per tree and pricing will be further checked. Bill made a motion that $300 be approved, Julie seconded and all approved. Kathie suggested consideration to have the entrance professionally maintained for seasonal color and will look into cost. Bill presented concerns for mowing around No. 6 by golf course maintenance. Areas around the pond on No. 5 belong to the home owners. Eleven people turned out to plant bulbs and coverage appeared in the Broken Arrow Ledger, which included a great picture. New Business Julie will prepare PowerPoint for the February 2007 Annual meeting. Web site guidelines were discussed and Julie will develop. Kathie made a motion that the Broken Arrow Welcome as presented by Joyce Jochim be accepted, Julie seconded and all approved. Julie will develop a flyer for inclusion. Wes will notify Joyce of acceptance and Bill will provided her with new names as they occur. It was noted that 2 new Boos Houses on Oak had sold signs, were landscaped without trees and that notification be made before closing in support of buyers awareness. The next meeting will be held on 12-07-06 at 6:00 P.M. at the home of Bill Richards. The meeting was adjourned. Tom Emmert, Secretary
