September 28, 2006 Meeting

The September meeting of the Shenandoah Valley at Battlecreek Homeowners Association was held on 09-28-06 at the home of Mike Wooten.  It was called to order at 7:00 P.M. by President, Wes Herzberg and attended by Wes, Tom Emmert, Julie Harris, Bill Richards, Kathie Wade and Mike Wooten.  Also in attendance were members at large, Dee Farlow – Event Coordinator, and Ken Brenkman – Newsletter.

 Tom Emmert read the August 06 minutes which were corrected and approved.  Bill Richards presented the August 31, 2006 Treasurers Report which was approved.

  Old Business

 Kathie presented response to the letter to builders.  Exite stated that the letter was a good idea.  They expressed concern for the landscape plans as a formal design, but requested providing a rough drawing.  Tri-Rivers sprayed weed killer between 1505 and 1509 W Rockport St in the area draining into the pond.  There could be additional cost if weeds had to be pulled out such as sunflower plants.  The City of Broken Arrow provided daffodil bulbs to plant in city property near the ponds on Sandusky and near the front entrance.  The planting event will be on 10-21-06 from 8 to 10.  Kathie has received one bid on the construction of an entrance pillar on Oak by the golf cart crossing.  The bid was $5500.  Mike will pursue other bids.  Kathie has obtained information that the city will give permission to erect on the golf course property.  The design would be consistent with others in the Battle Creek area.

 Julie updated covenants committee status regarding the above ground pool.  Three letters were sent to the homeowner with the last one sent certified.  The pool was removed with the board’s appreciation for the response.  The board also received a letter regarding a fence request.  The writer was sent a response that the request would be in violation with the covenants.  Recommendations for options were provided to the homeowner in the reply.  The homeowner is to be valued for contacting the association before construction.

 New Business

 Ken presented an update on the newsletter.  Discussion included layout, request for additional reports, timing and the best location for safety and security information provided by Julie such as the newsletter vs. the web site.  Ken will look into cost estimates for the newsletter.

 Dee presented ideas on a Bi-Monthly calendar of events.  This was well received and Dee will kick off and circulate soon.

 Homeowner’s Directory – There was discussion of developing a directory of homeowners.  Considerations were to include a check box on the annual bill to be marked if the homeowner did not want their name in the directory.  It was also suggested that there be the option of an alternative cell phone number.  Julie will investigate the use of advertising in the newsletter and/or directory to defray cost.  It was also suggested to consider a babysitter list.  Ken will develop the data base, Julie will look into the layout/printer, and Kathie will be the correspondent for responses.

 Landscaping –   Island irrigation was revisited.  An option is to have irrigation systems that have a hose bib that area residents can alternate hooking their hoses to the bib.  It was recommended that this be discussed at the next annual meeting held in February 07.  Mike reported that both fountains have quit working and suspects that turtles have chewed through the wires.  Long term solution will likely require that PVC housing be installed.  Entrance landscaping will include fall/spring flowers, some plant replacement, and adding color to the corners.  Bill made a motion to approve $500, Julie seconded and all approved.  Some electrical repair to the front lighting is also needed.   Bill made a motion for $500, Julie seconded and all approved.

 The October meeting will be held on 10-26-06 at the home of Tom Emmert.  The meeting was adjourned.
