Special Meeting, Homeowners Association Management Agreement,  January 25, 2005

A special meeting of the Shenandoah Valley at Battlecreek Homeowners Association was held on 1-25-07 at the home of Julie Harris.  It was called to order at 6:00 P.M. by President, Wes Herzberg and attended by Wes Herzberg, Tom Emmert, Julie Harris, Bill Richards, Kathie Wade, Mike Wooten and members at large, Dee Farlow – Event Coordinator and Ken Brenkman – Newsletter.

Dee Farlow read the January 18, 2007 minutes which were approved. 

Connie Matchen, Division Manager of Property Management and Leasing for The Rader Group, Inc. presented the Homeowners Association Management Agreement for discussion and consideration to contract for financial management of the SVHOA.  Highlights are as follows:

They represent 21 HOA

SVHOA will continue to have a treasurer position interfacing with the mgt company

Track insurance, advise expiration date and provide rates options

Have attorney available, Lawrence Taylor at $150/hour

Use Arvest Bank and have 2 officers on account

Pay recurring bills and require approval on all others

Provide welcome packet with covenants based on tracking title changes

File liens as needed for unpaid dues at a charge of $75 which is reimbursable

Provide monthly detailed transaction record

Provide budget with request

Provide actual/budget year to date comparisons on a monthly basis

Check tax records before dues mailing

Notify closing companies of SVHOA dues

There is a one time set-up fee of $175 and the monthly cost is $175

Additional management services are available for future consideration

They recommend D&O insurance

Do not do year end tax returns, will help coordinate

Recommend annual audit to check management fee and HOA itself

Can assist with newsletter, individually priced – Connie will check

Membership data base is in excel, they don’t do directory but can provide list less $$

Actual details of the agreement are in the Homeowners Association Management Agreement, and the above is intended for general information only. 

Discussion followed with a motion to accept by Julie Harris, seconded by Kathie Wade and approved by all with service to begin on February 01, 2007.

The next meeting will be the ANNUAL MEETING held on February 06, 2007 at 7:00 P.M. at The Church at Battlecreek located at 3025 N Aspen Ave.

The meeting was adjourned.
